How do I perform a SWOT analysis for a Project Management plan in 2024?


I'm currently drafting a project charter for a new software rollout. What are the best practices for conducting a SWOT analysis at this stage? I specifically want to know how to distinguish between internal "Weaknesses" and external "Threats" when dealing with a limited project budget and rising market competition.

Always keep it data-driven. A SWOT based on "gut feelings" is just a list of opinions; use actual market reports for the external sections.

  • Spot on, Linda. I'll add that reviewing the SWOT at every major milestone is crucial, as what was a "Strength" in Q1 might become a "Weakness" by Q3.

  • James, you definitely need the team. A developer sees technical weaknesses that a PM might miss, and sales folks see market threats that the tech team ignores. In a 2024 sprint I facilitated, the "Weakness" identified by a junior dev actually saved us from a massive security vulnerability during the deployment phase.

The most effective way to separate these is by looking at your sphere of control. A budget constraint is an internal "Weakness" because it’s a limitation within your organization’s current resources. Conversely, rising competition is an external "Threat" because it exists regardless of your project's internal state. In my experience leading a 2023 ERP migration, we mapped our "Strengths" (experienced devs) directly against "Opportunities" (new automation tools) to justify a budget increase. This is known as a TOWS matrix approach, which is a game-changer for project success rates.
