What is the best way to handle Shadow IT without alienating our employees?
We’ve discovered that several departments are using their own SaaS tools for project management and file sharing because they find our internal IT processes too slow. How do we bring these under the IT umbrella for security and compliance reasons without sounding like the "Department of No"?

You have to stop being a "Gatekeeper" and start being a "Broker." If a department is using an external tool, it’s because a business need isn't being met by the official stack. Approach them with curiosity, not a policy manual. Offer to perform a security and data privacy review of their chosen tool. If it passes, help them integrate it with your Single Sign-On (SSO) so the company data stays secure. This way, the department gets the tool they want, and IT gets the visibility and control required for compliance. It turns a conflict into a partnership where IT is seen as an "enabler" of productivity rather than a barrier.

Patricia, what if the tool they are using is fundamentally insecure or overlaps 100% with a tool we already pay for? How do you say "No" in that situation without killing the relationship?

Michael, in those cases, you have to lead with "Why." Show them the specific security risks or the financial waste of duplicate licenses. Then, offer a "Concierge Onboarding" to the approved tool. Offer to migrate their data for them and provide specialized training. Most people use Shadow IT because they perceive it as the "path of least resistance." If you make the official path just as easy and provide better support, they will naturally move toward the secure, sanctioned environment without you having to play the "bad cop."

Implement a "SaaS Self-Service Portal" where employees can see a list of pre-approved tools and request new ones. It makes the governance process transparent and much faster.
