How do I manage duplicate Lead records when integrating multiple marketing sources?
We are pulling leads from LinkedIn, G2, and our website, and our "Duplicate Manager" is struggling to keep up. I’m seeing a lot of "fuzzy" matches (e.g., Jon vs Jonathan) that the standard Lead Duplicate Rule is missing. Is it worth investing in a 3rd party tool like DemandTools or Cloudingo, or are there hidden "Power User" settings in the native Salesforce Duplicate Rules that can handle higher volumes of messy data?

Native Duplicate Rules are actually quite powerful if you customize the "Matching Rule" rather than just using the standard one. For the "Jon vs Jonathan" issue, make sure you are using the "Fuzzy Name" logic on the First Name field. However, the biggest limitation of native rules is that they are mostly "Point-of-Entry" blockers. They don't help you clean up the 10,000 duplicates you already have. For a cleanup of that scale, Cloudingo is worth every penny. It allows you to run bulk merge jobs with very specific "winner" logic (e.g., keep the record with the most recent Activity).

Are you seeing these duplicates created via the API, and if so, have you checked if your "Bypass" settings are accidentally letting them through without an alert?

Steven, you hit the nail on the head! Our website integration was using a "System Admin" user that had the "View All Data" permission, which was effectively bypassing our Duplicate Rules. I’ve since adjusted the integration user's profile and enabled the "Alert" and "Report" checkboxes on the Duplicate Rule specifically for the API. Now we can at least see the duplicates in a report and merge them daily rather than being blindsided by angry sales reps.

Data quality is a culture, not just a tool. If the marketing team isn't sanitizing their CSV uploads before they hit the CRM, no tool will ever truly fix the problem.
