How do we effectively manage IT assets in a hybrid work environment with dispersed hardware?


Our hardware inventory is a mess now that half our staff works from home. We are losing track of laptops, monitors, and peripherals. What are the best practices for IT Asset Management (ITAM) when you can't physically walk around the office to verify what people are using?

You need to move to a cloud-based ITAM solution that uses "Agent-based" tracking. When a laptop connects to the internet, the agent check-ins and reports back its location, serial number, and software health. You should also implement a "Zero Touch Provisioning" model with vendors like Dell or Apple (using JAMF or Intune). This ensures that every device is registered in your asset database before it even reaches the employee's house. For peripherals like monitors, you should maintain a "User-Owned, Company-Reimbursed" policy or use a central portal where employees must "attest" to the equipment they have every quarter to maintain an accurate digital audit trail.

Angela, the agent-based tracking is great, but how do you handle the "End of Life" (EOL) process for remote hardware? Getting a broken laptop back from a remote employee is a logistical nightmare.

They send a pre-paid, padded box to the employee's home, and the employee just drops it at a FedEx or UPS. The cost of the service is far lower than the cost of losing a $2,000 laptop. This mitigates the security risk even if the physical asset is never recovered.

Don't forget software license optimization. In a hybrid world, you're likely paying for SaaS licenses for people who have left the company. Monthly automated license audits are a must.
