What are the most critical KPIs for a high-level Executive Project Portfolio Dashboard?


I’ve been asked to build a master dashboard for our C-suite to oversee 20+ active projects. I don’t want to clutter the view with task-level details. What are the top 3-5 KPIs that actually provide value to executives for strategic decision-making and resource allocation?

Executives care about three things: Risk, Budget, and Alignment. Your dashboard should feature: 1. Budget Variance (Planned vs. Actual), 2. Resource Utilization (are we overworking the team?), 3. Project Health (RAG status: Red, Amber, Green), and 4. Strategic Alignment Score. Use a "drill-down" approach—start with a clean map of all projects and allow them to click into a "Red" project to see the primary blocker. Don't show them 200 tasks; show them the 2 critical risks that might delay the Q4 milestone. This keeps them focused on where they need to intervene.

How often does your executive team actually log in to view the dashboard versus wanting a PDF report emailed to them every Monday morning?

  • Most prefer the email, so look for a tool that supports "Scheduled Snapshots." If the dashboard requires them to remember a password and navigate a complex UI, they won't use it. I also include a "One-Sentence Summary" widget at the very top. It’s a manual field where the PM can type the most important update. It provides context that raw data charts often lack.

Focus heavily on "Schedule Variance." If an executive sees that 4 out of 5 projects are trending late, they can proactively discuss hiring or shifting priorities.

  • Agreed. Variance is more important than the current status because it shows the "trend." An "Amber" project trending toward "Green" is a success story.
