What are the best practices for Data Visualization in executive reports?


When creating dashboards for C-level executives, what are the key principles to follow? I often find myself putting too much detail into my charts, and I’ve been told they are "too busy." How do you balance providing deep insights while keeping the visuals clean and easy to read?

The "Golden Rule" for executive dashboards is the 5-second rule: a VP should be able to understand the main takeaway within five seconds. Start with high-level KPIs at the top—Revenue, Growth, Churn. Use a neutral color palette and only use bright colors to highlight anomalies or areas requiring action. Avoid "chart junk" like unnecessary borders or 3D effects. I always recommend using a "drill-down" approach where the main page is clean, but curious users can click through for the granular data if they need it.

  • Great question, Kevin. It really depends on the individual. I usually provide both—a high-level PDF for the quick check and a link to the interactive Power BI dashboard for their chiefs of staff or directors who need to investigate the "why" behind the numbers. Covering both bases ensures you’re useful to all levels of management.

Focus on the "So What?" Every chart should tell a story. If a chart doesn't lead to a potential business decision, it probably doesn't belong on the executive summary.

  • Larry is right. I’ve started adding a small text box next to my charts that explains the key insight in plain English. Executives love it because it saves them time.
