What are the most common pitfalls when setting up a new PMO in a mid-sized company?


My company is creating a Project Management Office from scratch. I've been tasked to lead it, but I’m worried about creating too much bureaucracy and slowing down innovation. What are the common mistakes to avoid during the first 6 months of a PMO setup?

The biggest mistake is trying to enforce a one-size-fits-all methodology too quickly. Instead of a rigid "command and control" center, aim for a "supportive" PMO first. Provide templates, tools, and best practices that actually make the project managers' lives easier. Focus on high-level reporting that gives the executive team visibility they didn't have before. If you start by demanding 50-page status reports, the PMs will view the PMO as a hurdle rather than a resource, leading to poor adoption and resistance.

  • Knowing the primary driver is crucial. If it's resource management, focus on capacity planning tools immediately. If you try to fix everything at once—governance, finance, and tools—you'll fail at all of them. Pick one "quick win" to prove the PMO's value to the board.

Don't forget the cultural aspect. A PMO changes how people work. Spend time on change management and getting buy-in from the people who will be using your processes.
