What is the best way to automate customer win-back campaigns for a subscription-based service?
We are seeing a spike in churn and want to build an automated sequence to win back former users. At what point after cancellation should the automation kick in, and what kind of incentives actually work to bring people back into the fold without devaluing our brand?

Timing is everything. Don't send a win-back email the day after they cancel; they’re usually still frustrated. Wait 30 days, then trigger an automated "We Miss You" survey to understand why they left. Based on their survey answer, your automation should branch. If they left because of price, send a limited-time discount code 60 days out. If they left because of a missing feature that you've since launched, send a "Check Out What's New" email. This targeted, automated approach shows you actually listened to their feedback, which is far more effective than a generic "Please come back" blast.

Heather, what if they don't fill out the survey? Should the automation just stop, or is there a "default" path that usually yields the highest recovery rate for silent users?

Michael, for non-responders, the best default is usually an "Educational" path. Send them a high-value piece of content or a case study that showcases a new way to use your product that they might have missed. About 90 days post-churn, you can then hit them with a "Deep Discount" as a last-ditch effort. If they don't engage with that, move them to a "Dormant" list and only email them once a quarter for major company updates. This prevents you from annoying them while keeping the door slightly ajar.

Use Facebook and Google retargeting ads in tandem with your win-back emails. Seeing the brand in multiple places helps reinforce the message of your automated campaign.

Multi-channel win-back is the gold standard. Syncing your "churned" list with an ad audience ensures your message follows them where they spend their time online.
